The “Integrated and Wireless Systems” division, based in Neuchâtel, Switzerland is looking for

Your mission

Proactively support the Business Unit’s employees on administrative topics, to facilitate their daily work.

Your responsibilities

  • Manage invoices, purchase orders, and expense reports.
  • Support the annual financial closing process, including invoices, accruals, and open purchase orders.
  • Monitor and verify time reporting records through Timelead.
  • Coordinate business travel arrangements and logistics.
  • Organize and schedule recruitment interviews.
  • Support the onboarding of new employees and maintain headcount records.
  • Provide administrative assistance to the Business Unit Manager and Deputy Manager.
  • Coordinate customer visits and ensure related logistics are in place.
  • Maintain and update customer information in the CRM, including contacts and mailing lists.
  • Order business cards and manage office-related administrative requests.
  • Handle import and export shipments and coordinate parcel deliveries.
  • Manage office supplies and ensure the availability of day-to-day consumables.
  • Collaborate closely with colleagues and contribute to the smooth running of administrative activities.
  • Scheduling, organization and coordination of various meetings, travels and events
  • Coordination of agendas of the management team

Your profile

Know-how

  • Commercial Degree and a minimum of 2-3 years of experience in a similar function within an international environment.
  • Fluent in French and English (both oral and written), very good knowledge of German is a plus
  • Proficient with MS Office & MS Teams (SAP would be an asset)

Interpersonal skills

  • Organized, reliable and customer-oriented
  • Strong communication skills as well as excellent writing skills and enjoy working with figures
  • Proactive and multitasking
  • Well-developed team spirit while being able to work autonomously.
